Hiring moves fast, your process should too
In competitive markets such as biotech and life sciences where skills are short, we hear it all the time: the right candidate was interested… and then lost interest.
Why? Because the process dragged. Interviews were delayed. Feedback went quiet. Decisions took too long. And in a market where good people don’t wait around, even a small wobble can cost you the hire, and damage your reputation.
Here’s how to avoid that.
1. Ways to run a smoother, faster recruitment process:
- Map the process from day one
- Before the role goes live, get everyone aligned.
- What does the full process look like? Who’s involved? What needs to happen at each stage, and when?
Agree it upfront. Block time in diaries. Share it with your recruiter. A clear plan helps keep momentum (and avoids last-minute panic when a candidate’s ready to move forward).
2. Set expectations for feedback
Most candidates don’t mind a no, but they do mind radio silence.
A simple internal rule, like “feedback within 48 hours” can make a big difference. It shows respect for the candidate’s time and keeps good people engaged while you decide next steps.
3. Empower your decision-makers
Hiring stalls when approvals get stuck.
Make sure those involved know the brief, are available for interviews, and can act quickly when the right person comes along. That doesn’t mean rushing, it just means being ready to move when it matters.
4. Be transparent throughout
Uncertainty is one of the biggest turn-offs. Even if timelines shift, candidates appreciate knowing what’s going on.
Share updates early, even if it’s just to say “we’re still working through things.” It helps build trust and gives a window into what it’s like to work with you.
5. Always close the loop
Don’t ghost. It’s tempting, especially when things are busy, but silence at the end of a process lingers.
Take a moment to let people know they’re not moving forward. A kind, thoughtful message can leave the door open for future roles, referrals, and goodwill.

Your recruitment process isn’t just about finding the right person, it’s a reflection of how your company operates. Candidates will judge your culture, speed, clarity, and care based on how you handle the hiring journey.
